America Together Dallas Funding and Delivery Plan

Planning period November 2026 through May 2027 | Target opening April–May 2027 | Four-day program with exact dates to be confirmed

The plan targets $5.8 million in support, with corporate sponsorship payments scheduled ahead of the production expenses they fund. Short-term bridge funding will support essential preparation before the first sponsor receipts arrive. Sponsorship and available net ticket receipts will fund approved production and operating costs.

Funding target

SourceTarget
One Founding Partner$600,000
Ten core positions at $400,000$4,000,000
Two Freedom and Democracy buffer positions at $400,000$800,000
Major donors and contributed support$400,000
Total support target$5,800,000

The ten core program positions comprise one Arts and Culture position, four Music and Performance positions, two Culinary and Hospitality positions, and three Civic Dialogue positions. The two Freedom and Democracy buffer positions bring the program total to twelve positions at $400,000 each, or $4.8 million. Including the $600,000 Founding Partner, corporate sponsorship totals $5.4 million. The donor and contributed mix is separate; goods and services reduce specific costs but do not provide cash for unrelated bills. Ticket revenue will provide an additional source of funding, with available receipts calculated after fees, taxes, refunds and applicable holds.

Sponsorship commitments

We will secure sponsorship commitments and schedule payments ahead of production expenses. Each partnership agreement will define payment terms, benefits and delivery milestones.

Roose Hill will oversee the production, while the Live Event Producer will manage day-to-day delivery. The figures above are proposed monthly fees for budgeting. No staff have been hired and no staffing commitments have been made; Laura Roosevelt and Brad Hillinger are currently leading the project. Travel, employment-related costs and additional personnel will be budgeted separately. Each role will begin when the work is needed and funding is available.

MonthPersonnel and Roose HillCumulative
November 2026$83,000$83,000
December 2026$132,000$215,000
January 2027$154,000$369,000
February 2027$154,000$523,000
March 2027$154,000$677,000
April 2027$154,000$831,000
May 2027$154,000$985,000

The staffing budget runs from November 2026 through May 2027 to provide for the later end of the targeted April–May 2027 opening window. Total proposed staffing and Roose Hill fees are $985,000. The budget retains the original monthly assumptions and adds $154,000 for April and $154,000 for May. Exact event dates and individual engagement periods will be confirmed before commitments are made.

From the $4.6 million core corporate funding target, this leaves $3,615,000 for other production and operating costs, plus a separate $800,000 contingency buffer. Supplier quotes will determine how those funds are allocated. Any staffing required after May will be budgeted separately.

Initial bridge funding

The planning budget begins in November 2026, with $83,000 allowed for that month’s staffing and Roose Hill fees. Actual engagements will begin only when funding is available and terms are agreed. The cash forecast will establish the bridge funding needed for approved staffing, legal work, travel, deposits and setup before sponsor receipts arrive. Sponsor payment dates will be agreed in writing; receipts are not yet committed.

We will price these early commitments, map payment dates and set a capped bridge amount that covers the peak cash shortfall, reserve and financing costs. We will agree who provides the funds, when they are available and how they will be repaid before making commitments.

We will repay the bridge from available sponsor receipts after reserving funds for upcoming obligations. We will test the plan against late payments and cancellation costs. Staffing and spending will begin only when funding is in place.

Major donors and contributed support

Major donors and contributing partners will help fund the celebration through financial gifts, goods and services. Contributions will be matched to specific production and community needs.

Financial management

Production commitments will be matched to available funding and scheduled receipts. Contract reviews will establish costs, payment dates and cancellation terms before deposits are paid. The contingency buffer will cover unplanned needs, and ticket receipts will enter the cash-flow plan when they become available through the ticketing provider.

The Finance and Administration Manager will maintain a weekly cash-flow forecast with the Live Event Producer and Sponsorship Director. It will track sponsor and donor receipts, available net ticket income, bridge funding, expenses and repayments, providing a shared basis for production decisions.

Net proceeds will be available for charitable allocation after event expenses, outstanding obligations, bridge repayment and agreed reserves are settled. The nonprofit’s distribution arrangements will define the recipients and allocation process.
